Japan Medical System Development Organization, LLC (“the Company”) builds systems for hospitals, clinics and healthcare companies, supports healthcare digital transformation, analyzes and provides medical, health and long-term care information, and runs training. We are aware of what handling personal information means in that work. The Company complies with Japan’s Act on the Protection of Personal Information, with related laws and guidelines, and with the official guidance on handling personal information in the medical and long-term care fields, and it has adopted and applies the following privacy policy.
1. Collection of personal information
When the Company collects personal information, it specifies the purpose of use as far as possible and collects the information by lawful and fair means. Through inquiries, the course of our work, the signing of contracts and job applications, we may be entrusted with names, affiliations, contact details and other personal information. The Company does not collect personal information by deception or other improper means.
2. Purpose of use
The Company uses the personal information it collects within the scope of the following purposes.
- Responding to inquiries and consultations, and keeping records of them
- Carrying out work entrusted to us, signing and performing contracts, and invoicing and payment
- Providing information about our business, sending materials and distributing news
- Running training, seminars and events, and contacting participants
- Screening job applicants, contacting them, and personnel and labor administration after they join
- Performing obligations under laws and regulations
- Purposes incidental to each of the above
If it becomes necessary to use personal information beyond these purposes, the Company will do so only with the prior consent of the individual.
3. Provision to third parties
Except in the following cases, the Company does not provide personal information to third parties without the prior consent of the individual.
- Where required by laws or regulations
- Where it is necessary to protect a person’s life, body or property, and obtaining that person’s consent is difficult
- Where it is especially necessary to improve public health or to promote the sound growth of children, and obtaining the person’s consent is difficult
- Where it is necessary to cooperate with a national or local government body, or a party acting for one, in carrying out duties prescribed by law, and obtaining consent would be likely to impede those duties
4. Security control measures
The Company takes organizational, personnel, physical and technical safeguards to prevent the leakage, loss or damage of the personal information it handles. Staff who handle personal information receive the necessary training and supervision. The Company also reviews these safeguards periodically in light of the nature of its business and of the information it handles.
5. Medical and health information requiring special care
Because of the nature of our business, hospitals, clinics, long-term care operators and healthcare companies may entrust us with information that includes medical history, treatment records, state of health and other personal information that requires special care under Japanese law. Mishandling such information affects people’s lives directly. The Company handles it on the following basis.
- At every stage, from collection and storage to analysis and delivery, our principle is to hold no more information than the work requires.
- We follow the terms of the contract with the party that entrusted the information, together with the applicable laws and guidelines, and we neither use the information for any other purpose nor provide it to third parties.
- Where possible, we anonymize or pseudonymize the information before handling it.
- We limit access to the staff who need it for the work, and we keep records of how the information is handled.
- On completion of the work, we promptly return or delete the information by the method set out in the contract.
6. Outsourcing
The Company may outsource all or part of the handling of personal information within the scope needed to achieve the purposes of use. When we select a contractor, we confirm that it is set up to handle personal information properly, require the necessary safeguards by contract, and supervise it as necessary and appropriate.
7. Disclosure, correction and suspension of use
If an individual asks for the disclosure, correction, addition or deletion of their personal information held by the Company, or asks us to stop using it or providing it to third parties, we will verify their identity and respond within a reasonable period, as the law requires. 8. Changes to this policy
The Company may change this policy in response to changes in the law or in our business. A changed policy takes effect when it is posted on this website. Where a change is significant, we will announce it in our news.
